Does email warmup work? The honest answer: IP/domain ramping is real, but automated engagement networks are shaky. Here's what actually works.
Does email warmup work? The honest answer is: the legitimate half of it does, and the automated half mostly doesn't. Gradual volume ramping on a new IP or domain is real, documented, and required by mailbox providers. But paying a service to exchange fake opens and replies with a network of seed inboxes does not build transferable reputation — and in 2026 it can actively get you flagged.
This piece is our honest take. We run a deliverability testing company and we deliberately do not sell warmup. Here's why, what warmup services actually do under the hood, where the real value is, and what works instead.
What Do Email Warmup Services Claim to Do?
The pitch is seductive: plug in your sending account, and the service automatically sends emails between a pool of real-looking inboxes. Those inboxes open your messages, click, reply, mark them as important, and rescue them from the spam folder. This simulated positive engagement supposedly "trains" Gmail, Outlook, and Yahoo to trust you — so when you start your real campaigns, you land in the inbox.
Typical warmup tools do some mix of:
- Automated two-way sending between your account and the provider's seed network (sometimes thousands of mailboxes).
- Engagement simulation: opens, replies, "not spam" clicks, moves from Promotions/Spam to Primary.
- Gradual daily volume increases on a schedule the tool manages for you.
- Dashboards showing a warmup score rising over 2–8 weeks.
Prices range from ~$20 to $100+ per mailbox per month. The implicit promise: skip the boring work of building reputation the slow way.
Before we evaluate that, we need to separate two very different things the word "warmup" gets used for.
Domain Warmup vs IP Warmup: Two Different Problems
IP warmup is the classic problem, and it's real. If you get a fresh dedicated IP from your ESP, that IP has zero sending history. Mailbox providers treat sudden volume from an unknown IP as a spam signal. You must ramp: tens of messages on day one, doubling gradually, over 4–8 weeks. Domain warmup is newer and more relevant in 2026. Since Gmail, Yahoo, and Microsoft shifted to domain-reputation-first filtering (Yahoo made this explicit in April 2025), your domain's history matters more than your IP's. A brand-new domain sending 50,000 emails on day one will get throttled or 5xx-rejected regardless of IP reputation.
Here's the key point: both of these are solved by gradual volume ramping to real, engaged recipients. Neither is inherently solved by a seed network exchanging automated replies. The ramp is real. The robot engagement is the shaky part.
The Legitimate Part: Gradual Volume Ramping Is Real
Let's be fair. Underneath every warmup service is a kernel of truth that mailbox providers themselves document:
- Google's sender guidelines explicitly say to start with low volume to engaged users and increase gradually for new IPs and domains.
- Microsoft's sender documentation describes ramp-up periods for new sending infrastructure, and its SNDS program exposes per-IP data precisely so you can manage this.
- Gmail has enforced hard 5xx rejections for non-compliant bulk senders since November 2025 — there's no "sneak past the filter" anymore; reputation has to be earned.
So yes: if you're on a new IP or new domain, you cannot send full volume immediately. Anyone who tells you otherwise is wrong. The "ramp" component of warmup services — slowly increasing sends over weeks — is doing something genuinely necessary.
The question is whether you need to pay for that ramp, and whether the engagement simulation layered on top helps, does nothing, or hurts.
The Shaky Part: Artificial Engagement Networks
This is where we part ways with the warmup industry. Three structural problems:
1. Mailbox providers actively detect engagement-farm patterns
Think about what a warmup network looks like from Gmail's side: a cluster of inboxes that consistently receive mail from new senders, open everything within minutes, reply with generic text, and move messages out of spam — at volumes no human produces. The sending times are machine-regular. The reply content is templated. The engagement rate is implausibly perfect (real engaged lists get 30–60% opens, not 98%).
Google runs anti-spam systems that have been fighting coordinated inauthentic behavior for two decades across Search, YouTube, and Ads. Detecting a farm of mutually-engaging mailboxes is well within their capability, and industry researchers have shown that engagement from known warmup pools is discounted or ignored. Microsoft's filtering team has publicly described treating automated/artificial engagement as a negative signal, not a positive one.
At best, the simulated engagement is noise. At worst, it's a fingerprint.
2. Reputation is computed from your real recipients, not seed inboxes
Modern reputation systems weight your actual audience's behavior: do your subscribers open, reply, delete without reading, or hit "Report spam"? A warmup network's opens tell Gmail nothing about whether your recipients want your mail.
This is why warmed-up senders so often crash on their first real campaign. The warmup score looked great; then real recipients behaved like real recipients, complaint rates spiked past the ~0.1–0.3% ceiling Gmail enforces, and the domain got punished. The warmup didn't transfer because reputation isn't a generic score you can bank — it's per-domain, per-audience, continuously recomputed.
You can see this yourself: sync Google Postmaster Tools data before and after a warmup period, then watch what happens to your domain reputation when real campaigns start. The warmup curve and the real-recipient curve diverge fast.
3. It can mask — and worsen — the actual problem
Most senders who reach for warmup don't have a "new domain" problem. They have:
- Broken or misaligned SPF/DKIM/DMARC (far more common than people think)
- A list full of dead addresses, spam traps, and people who never opted in
- Complaint rates already at or above the threshold
- Content or link reputation issues
Warmup on top of a broken foundation is worse than useless — it delays the diagnosis while you pay monthly. We've seen senders run warmup for 8 weeks, launch, land in spam, and only then discover their DKIM signature was failing alignment the entire time. Thirty seconds with a deliverability test would have caught it on day one.
Try it: Before spending a dollar on warmup, run a free deliverability test — 70+ checks across authentication, DNS, headers, content, and links, with a 0–100 score and prioritized fixes. Most "reputation problems" turn out to be authentication or list problems in disguise.
The Risk Cases Nobody Advertises
Beyond "might not work," automated warmup has failure modes worth knowing about:
Runaway warmup incidents. Because warmup tools need SMTP/API access to your account, bugs and misconfigurations send on your behalf. There are documented cases of warmup tools looping — sending thousands of automated emails per day from a user's account, torching the very reputation they were supposed to build, sometimes triggering ESP account suspension for policy violations.
ESP terms-of-service exposure. Many ESPs explicitly prohibit artificial engagement and third parties sending through your account for reputation manipulation. Getting caught can mean account termination at the exact moment you need your sending infrastructure most.
Guilt by association. Warmup networks get recycled across thousands of customers, including spammers who burn through them. If the pool's inboxes or the patterns around them get flagged, your account participated in that pattern.
False confidence. The dashboards show a number going up. Numbers going up feel like progress. But the score measures engagement within the warmup network — a closed system that tells you almost nothing about inbox placement for your real list.
Is an Email Warmup Service Worth It? A Fair Verdict
Let's steelman it. When might a warmup service be a reasonable purchase?
- You have a genuinely new domain or IP, a small list, and no time/expertise to manage a ramp schedule yourself.
- You treat it purely as a volume scheduler, ignore the engagement theater, and keep your real list hygiene tight.
Even then, the value is the scheduler, not the seed network — and a scheduler is something your ESP or a spreadsheet can do for free.
When is it clearly not worth it?
- Your domain has history and your real problem is spam placement. Warmup won't fix that; diagnosing why you land in spam will.
- You're trying to rehabilitate a damaged reputation by laundering it through fake engagement. Providers weigh recent real-recipient behavior — the fix is sending less, to your most engaged real subscribers, with complaints under control.
- You haven't verified authentication yet. Fix SPF, DKIM, and DMARC first (our SPF, DKIM, DMARC explainer walks through it), then check compliance against the Gmail/Yahoo bulk sender rules.
What Actually Works Instead of Warmup
The honest playbook. It's slower than a warmup dashboard, but it's the one mailbox providers actually reward:
Step 1: Diagnose before you treat
Send a real email from your actual setup to a testing address and see what mailbox providers see. Check SPF/DKIM/DMARC alignment, rDNS, TLS, headers, content, and link reputation. Step 2: Ramp real volume to real engaged recipients
Start with your most engaged segment — people who opened or clicked in the last 30 days. A reasonable new-domain ramp:

Increase roughly 1.5–2x per step, and only when the previous step shows healthy metrics: spam complaints under 0.1%, hard bounces under 1%, no 5xx spikes. Full schedule and math in our IP warming schedule post.
Step 3: Control complaints ruthlessly
Gmail's ceiling is ~0.1% spam complaints, with 0.3% as the hard "you have a problem" line. One-click unsubscribe (RFC 8058) is mandatory for bulk senders since 2024, and since November 2025 Gmail rejects non-compliant bulk mail with 5xx errors. Keep complaints low by sending to people who asked for your mail — which loops back to list hygiene.
Step 4: Validate your list before the ramp
Every dead address and spam trap you hit during a ramp does disproportionate damage, because bounce and trap-hit rates are computed on small denominators early on. Run your list through a validator with catch-all detection, disposable filtering, and spam-trap screening before week one. Step 5: Monitor reputation with first-party data
Skip the warmup dashboard. Use the data mailbox providers give you directly:
- Google Postmaster Tools: domain reputation, spam rate, authentication pass rates, delivery errors.
- Microsoft SNDS and Yahoo Sender Hub: complaint and filtering data for their networks.
- Your own DMARC aggregate reports: who's sending as your domain and whether they authenticate.

Step 6: Keep the ramp honest
The unglamorous truth: reputation is a lagging average of how real humans treated your last few weeks of mail. There is no shortcut around that loop — only ways to make the loop work in your favor: engaged recipients, clean authentication, low complaints, consistent volume. Any tool claiming to shortcut the loop is selling you engagement theater.
