For twenty years, IP reputation was the main thing mailbox providers filtered on. That flipped around 2024–2025: Gmail, Yahoo, and Microsoft now weight domain reputation first, because IPs rotate but your domain follows you everywhere. You still can't ignore IP reputation — it decides whether your traffic gets throttled or 4xx-deferred — but if you're choosing where to spend effort in 2026, the domain wins.

This post explains how each signal works, why "ESP hopping" stopped being an escape hatch, when a dedicated IP is actually worth paying for, and how to monitor both sides.

The short version: sender reputation explained

Every receiving server builds two scores about your mail:

Historically the IP column dominated. Providers ran per-IP rate limits, Spamhaus listed IPs in the SBL, and a dirty IP meant a dead campaign. That's still true — but it's now the first gate, not the deciding vote. Once your IP passes the "is this garbage traffic" check, placement decisions increasingly key off the domain.

Why the shift? Three practical reasons from the receivers' side:

  1. IPs are cheap to rotate. Snowshoe spammers burned through thousands of IPs. IP-only filtering became whack-a-mole.
  2. Domains are expensive to rebuild. A domain's history sticks. Yahoo made this explicit: since April 2025 its sender guidance says domain reputation — not IP reputation — is the primary factor in inbox placement decisions.
  3. Authentication made domains verifiable. With DMARC alignment enforced, a receiver can finally trust that mail from acme.com actually is from acme.com, which makes a domain-level reputation score meaningful at all. This is why Gmail's hard 5xx rejections (rolling out since late 2025) target unauthenticated or non-compliant domains, not just IPs.

How IP reputation actually works

IP reputation is the old machinery, and it still runs. Receivers track, per sending IP:

  • Volume and burstiness. An IP that sends 200 messages a day and suddenly blasts 200,000 looks like a compromise or a spam run. Expect 4xx temp-fails ("rate limited") before you get a real answer.
  • Complaint rate per IP. Spam complaints attributed to traffic from that IP. The workable ceiling at Gmail/Yahoo is ~0.1% — stay under it, treat 0.3% as the cliff.
  • Spam trap hits. Traps are monitored per-IP at the blocklists. One Pristine trap hit from your IP and you're on a DNSBL within hours.
  • Blocklist state. Spamhaus SBL/XBL, Barracuda, SpamCop and friends mostly list IPs (Spamhaus DBL is the domain-side exception — more on that below).

Shared IP reputation: the contamination problem

If you're on an ESP's shared pool, your IP reputation is a weighted average of everyone on that pool. This is the classic shared-IP trap: your list hygiene is perfect, your complaint rate is 0.02%, and you're still getting deferred to gmail-smtp-in.l.google.com because someone two tenants over bought a list.

Symptoms of shared-pool contamination:

  • 4xx responses mentioning rate limits despite low your volume
  • Blacklist listings on IPs you send from but don't control
  • Deliverability that swings week to week with no change on your side

Good ESPs police their pools aggressively and will migrate you off a dirty one if you raise it with support. Bad ones don't, and no amount of domain-side hygiene fully compensates. This is one of the few cases where "switch providers" is legitimate advice.

New IPs start at zero

An IP with no history is not a good IP — it's an unknown IP, and unknown gets throttled. That's why any dedicated-IP move requires a warm-up schedule: start with your most engaged segment at a few hundred messages per day per provider, roughly doubling every 2–3 days, and expect 2–4 weeks before you can run full volume. Skip the ramp and Gmail will defer you into oblivion.

How domain reputation works (and why it follows you)

Domain reputation is built from everything a receiver can attribute to your From: domain over time:

  • Authentication history. Months of SPF/DKIM passes with DMARC alignment = a stable, attributable identity. Frequent failures, alignment breaks, or key rotation sloppiness degrade trust.   • Complaint rate per domain. Gmail's Postmaster Tools tracks this at the domain level. Over 0.1% sustained and your domain reputation grade drops; recovery takes weeks of clean sending, not days.
  • Engagement. Opens, replies, moves-out-of-spam, deletes-without-reading. Receivers aggregate these per domain. A domain whose mail consistently gets rescued from spam builds reputation fast; a domain whose mail gets deleted unread bleeds it slowly.
  • Domain age and consistency. A 3-week-old domain sending 50k/day is a spam pattern no matter how good the content is. Subdomains help segment reputation (mail.acme.com vs acme.com) but don't fully isolate it — receivers correlate up to the organizational domain.

Here's the part people learn the hard way: domain reputation is portable in the worst sense. Move from one ESP to another, get fresh IPs, new infrastructure, clean everything — and your domain's complaint history comes with you, because the receiver keys the score on yourdomain.com, not on the pipe it arrived through. ESP hopping used to reset your reputation when IP was king. It doesn't anymore. If your domain reputation is damaged, the fix is 4–8 weeks of reduced volume to engaged-only segments with clean authentication, not a new vendor.

Rule of thumb: rejection and throttling problems are usually IP-layer; accepted-but-junked problems are usually domain-layer. Not always — Microsoft still leans harder on IP than Google does — but it gets you to the right dashboard fast.

Is a dedicated IP worth it in 2026?

The honest answer: for most senders, no. The standard volume guidance still holds because the math hasn't changed.

Stay on a shared pool if:

  • You send under ~50k–100k messages/month. Below that, you can't generate enough consistent volume to keep a dedicated IP "warm" — gaps and low volume look as suspicious as spikes.
  • Your ESP has a good pool reputation and responsive abuse desk.
  • You're early-stage and your complaint/engagement metrics are still noisy.

A dedicated IP makes sense if:

  • You send consistently above ~100k–300k/month (some say 50k; the real test is whether you can send every week without gaps).
  • You want full control: your neighbors can't hurt you, and your warm-up, throttling, and blocklist remediation are yours alone.
  • You can actually staff the responsibility. A dedicated IP you neglect is worse than a shared pool someone else maintains.

And the 2026 caveat: a dedicated IP no longer isolates your reputation. Even with your own IP, receivers still score your domain. A dedicated IP removes shared-pool risk; it does nothing for a damaged domain. People still buy dedicated IPs hoping to outrun a bad domain reputation. That money is wasted.

Either way, keep your authentication airtight — a dedicated IP with broken DKIM alignment performs worse than a shared pool with perfect auth. Run your records through the free SPF checker and DKIM/DMARC tools before any IP decision.

How to monitor both reputations

The good news: the two-layer world has two-layer tooling.

  • Google Postmaster Tools — the most important free dashboard in email. Shows both domain reputation and IP reputation grades, plus spam rate, authentication pass rates, and delivery errors.   • Microsoft SNDS — IP-scoped. Shows per-IP complaint rates, trap hits, and message status for Outlook/Hotmail traffic. If Microsoft is deferring you, SNDS is the only ground truth.
  • Yahoo Sender Hub — domain-level complaint data for Yahoo/AOL.

The cadence that works: Postmaster weekly, SNDS whenever volume to Microsoft is meaningful, blacklist alerts always-on, and a full deliverability test after any infrastructure change — new ESP, new IP, new subdomain, DNS migration.

The practical playbook

If you're deciding or diagnosing right now:

  1. Run a domain reputation check first. Postmaster Tools grade + a deliverability test. If the domain is Low or Bad, no IP change will save you — fix volume, complaints, and authentication for 4–8 weeks.
  2. Check the IP layer second. Blacklist scan + SNDS. If IPs are listed or complaint-heavy but the domain is fine, that's a pool problem — ask your ESP to move you, or consider dedicated if volume justifies it.
  3. Only then make the shared-vs-dedicated call using the volume thresholds above, not vibes.
  4. Stop ESP hopping as a strategy. Your domain follows you. So does the complaint history.
  5. Keep complaint rate under 0.1% at the domain level — that's the number Gmail and Yahoo enforce, and it's the single biggest domain-reputation input you control directly.
